REGISTRATION: CONFERENCE AND HOTEL PACKAGE

Registration fees includes:

-Coffee Breaks (June 3,4,5)

-Gala Dinner (June 5)

Presentations will be on June 3, 4, 5 and up to noon on June 6. Between 12pm-5pm on June 6, there will be additional time for networking and collaboration.

Conference Hotel Hilton Hawaiian Village
1570 USD (based on availability of hotel rooms at contracted rate). First 55 rooms guaranteed at this rate

Hotel fee includes:

--4 nights stay at the Hilton Hawaiian Village in Honolulu from 4 pm June 2nd and checking out 11 am June 6th. You can store your luggage at the hotel while at the conference on June 6th, or you may choose to pay for additional nights through the link. When you have booked the hotel, please click HERE to select your room type preference (King, Queen, No Preference). Preferences will be considered but cannot be guaranteed.

PLEASE NOTE TO BE GIVEN REGITSRATION FEE, YOU MUST STAY AT THE HILTON HAWAIIN AND BOOK with the hotel link. Anyone who does not have a matching hotel booking will not be confirmed as registered. We must do this as an important aspect of this conference is that we are all together and also we must meet hotel minimums. Thanks for your understanding. Please book hotel at the same time as registration, that will help our conference planning and guarantee you the room at that rate. There will be an option to book a hotel later but may not be at this rate or this hotel if you are not within the first 55 registrants.

Cancellation Policy

Between June 1st, 2023 and December 31st, 2023 you will receive a refund of 50% of your registration fees and 100% refund on hotel fees.
Between January 1st and February 28th, you will receive 25% refund on your registration fees and 50% on hotel fees
After March 1st, 2024, there will be no refund to registration or hotel fees.

OPTIONS TO ADD:

1. Accompanying Person

You can add on accompanying persons for someone who is not attending conference but is sharing a room with the participant

-Welcome Dinner (June 3)
-Lunch (June 3,4,5)
-Gala Dinner (June 5)
-4 nights hotel accommodation at the Hilton Hawaiian Village in a room with participant (Check in June 2 & Check out June 6, 2024)

-Cost for each accompanying adult (over 18) is $875 to participate in all events other than the conference talks. If you wish the accompanying adult to attend the presentations, they should book their own full registration.
-Cost for each additional child is $710. Select number of children when registering and age of child.
-Please note the maximum number of people per room is four and only the participant and up to three additional guests who are not participating in the conference can share a room.

2. Extra Room

- Some people may choose to come with family, and would like to have an extra room for other family such as grandparents, we can offer our locked in room rates at $299 plus tax (and reduced resort fee). If you need a guaranteed connecting room also, that is possible for a charge of 70 per night. Please select this when registering.

- Please email Jennifer Collins collinsjm@usf.edu to make any additional arrangements for people staying in an extra room to participate in our other events if you would like. Based on availability, we can accommodate with a small charge to cover costs.

3. Optional Additional Nights and Nights for Family

Note: The hotel is at capacity with our contract but if you are interested in a room to stay so you are with other participants, please reach out to Jennifer Collins collinsjm@usf.edu with the request including check in and check out date preferred and she'll see if the hotel will accommodate any more rooms at the contracted price. There are no guarantees. - Please note that the optional nights do not include any other food options but there are plenty of places on and off-site you may like to explore yourself.

Conference Registration Instructions

The AAG has established a fixed fee for all participants at this Conference. This fixed fee has been established in order to encourage overall Conference attendance. The conference registration fee and the hotel fee will be charged regardless of the length of time a participant attends the Conference.
The fixed registration fee covers registration, meals as specified, and opportunities for collaboration. The fixed hotel fee covers accommodations as specified. It will not provide for recreation, faxes, taxi, parking, laundry, incidentals, or any other personal expenses.
All activities, including meal and recreation times, are intended to promote and facilitate scientific discussion and exchange of information.
